Flexible hours but prefer 7 hours/day, 4 days/week. Teleworking schedule of 1-2 days may be available after 3 months.

Primary Purpose of Position:

The purpose of this position is to provide oversight of all departmental purchases and travel for the University Career Center. Serves as the department expert and is expected to have extensive knowledge to execute all department purchases via 49erMart, P-card and Chartwells. Reconciles p-card expenses and provides guidance/training for Associate and Assistant Directors as regards the proper procedures by which to reconcile their transactions. Additionally, this position will be responsible for vendor set-up and staff reimbursem*nts; providing back-up for the daily eCommerce Credit Card deposits; maintaining and ordering office supplies; assisting with all career fairs; filing. Provides training for student employees on how to respond to questions that come into the Career Center’s in-box using standard templates and will be the contact for students when they need assistance in formulating a response when the standard answers do not apply.

Minimum Education/Experience:

Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

University Preferred Qualifications:

Graduation from high school and demonstrated knowledge, skills, and abilities gained through three years of specialized office experience or an equivalent combination of education and experience.

Essential Job Duties:

  • Makes travel arrangements and completes travel authorization and reimbursem*nt forms following proper university policy and procedures.
  • Provides support to all career center teams with space reservations, catering, and purchasing requests through university systems (49erMart PO’s, P-card and Direct Pay Request forms).
  • Assist in the maintenance of office processes including filing.
  • Provide back up coverage for customer service desk as needed.
  • Assist at Career related job fairs.

Other Work Responsibilities:

  • Other miscellaneous duties as needed.

Departmental Preferred Experience, Skills, Training/Education:

  • Working knowledge of Banner, 49erMart purchasing system or a related purchasing system software package, pcard reconciliation and travel reservation/expense reconciliation preferred.
  • Experience working in a highly detailed, task oriented, customer service focused environment at a college/university.
  • At least intermediate proficiency in Microsoft EXCEL and WORD.
  • 4-5 years of office experience in a busy, task oriented, customer service environment .
  • Good interpersonal skills, highly organized and meticulous.
