Events Manager

The University of North Carolina at Charlotte is seeking applications for an Events Manager for the School of Professional Studies. The School of Professional (SPS) reports to the division of Academic Affairs, reporting to the Provost and Vice Chancellor for Academic Affairs.SPSworks collaboratively with departments, colleges, and academic support units to ensure integrated partnerships for enrollment growth, student success and faculty effectiveness in teaching.

Minimum Qualifications: A degree in Event Management, Hospitality Management, Business Administration, Marketing, or a related field with 1 year of event management experience; and or 5 years of proven event management experience managing high profile events. One year of experience in managing budgets, negotiating contracts with vendors, and coordinating logistics. Flexibility and adaptability are a must due to events that often require working outside regular office hours and weekends. Demonstrated ability to lead an event, delegate tasks effectively, and foster a collaborative work environment. Strong skills in building and maintaining client relationships, with a focus on customer satisfaction and retention. Proven track record in identifying challenges, proposing solutions, and implementing effective resolutions during events. Ability to adapt to changing priorities, work under pressure, and handle unexpected situations with professionalism. Excellent verbal and written communication skills to effectively interact with diverse stakeholders, negotiate contracts, and present ideas clearly. Dedication to delivering high-quality events that exceed client expectations and align with organizational goals. Essential Job Duties: Join our dynamic team as one of two Event Managers at The Dubois Center. Collaborate to oversee events and engage with a diverse array of internal and external clients. Reporting to the Associate Director, this role demands adaptability, flexibility, and a strong customer service orientation. The position requires exceptional organizational skills, proactive communication, and problem-solving abilities within a dynamic, client-focused, and team-driven environment:

Event Oversight and Coordination:

    • Manage and oversee all aspects of events hosted at The Dubois Center.
    • Coordinate with internal and external clients to understand event requirements and ensure they are met.
    • Connect clients with necessary vendors for catering, parking, AV needs, and other services.
    • Ensure timely completion of event logistics and services.

    Client and Stakeholder Engagement:

      • Act as a primary liaison between clients, vendors, and internal staff.
      • Articulate the vision of events and build strong relationships with clients and stakeholders.
      • Ensure events align with client objectives and meet their expectations.

      Compliance and Policy Adherence:

        • Convey accurate, legally binding information, and UNC Charlotte policies and procedures to clients.
        • Uphold The Dubois Center's mission to attract clients who share similar values.
        • Ensure events comply with University Policy 601.6 for Scheduling of University Space.

        Operational Management:

          • Manage both large and small high-profile universities and external events effectively.
          • Ensure smooth event operations, troubleshoot issues, and provide quick solutions to unexpected challenges.
          • Communicate effectively with clients, vendors, and staff to keep them informed about event details and changes.

          Team Collaboration and Special Projects:

            • Assist in writing policies related to event management as needed.
            • Resolve internal relations with event clients and provide clear direction to auxiliary staff for event setup and teardown.
            • Work collaboratively as part of the Dubois Center operational staff, reporting to the Associate Director providing operational support and coverage as needed for the operations staff team
            • Demonstrate adaptability and flexibility to cover events on weekends and after business hours.
            • Participate in special projects such as academic room scheduling and coordinating VIP parking requests.
            • Utilize proficiency in event scheduling software to schedule events and generate necessary data for The Dubois Center.

            Technology Proficiency

              • Proficiency in Google Suite tools such as Gmail, Google Docs, Google Sheets, and Google Calendar required for seamless communication and collaboration with clients, vendors, and internal staff. Required for real-time updates, sharing of documents, and scheduling meetings and events.
              • Google Sheets and Google Docs are required for event planning, task tracking, and creating detailed event timelines.
              • Event Software proficiency required for data collection, analysis, and reporting on various aspects of events, such as number of monthly events, attendee registration numbers, and post-event evaluations.

              Other Job Duties

              • Beyond event management duties, this role will also contribute to special projects for The Dubois Center supporting students and academic services, as well as providing general operational coverage during peak periods or staffing irregularities.
